Job Summary
We are seeking a dynamic and organized Office Assistant to join our team! Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professionalism and warmth
- Handle multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
- Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and document management
- Assist with calendar management and appointment scheduling for staff or executives
- Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
- Provide customer support by addressing inquiries promptly and maintaining excellent service standards
- Maintain office supplies inventory and coordinate procurement as needed to ensure seamless operations
Requirements
- Proven experience in an office environment with clerical or administrative responsibilities
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Familiarity with QuickBooks or other bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively
- Bilingual abilities are a plus to assist diverse client needs
- Previous experience as a receptionist or medical/dental receptionist is advantageous
- Demonstrated phone etiquette skills with experience managing multi-line phone systems
- Personal assistant or office management experience preferred but not required
- Ability to handle confidential information discreetly and professionally
- Strong typing skills along with attention to detail for proofreading documents
- Time management skills to juggle multiple responsibilities efficiently
