Patient Services Representative

Job Summary

The Patient Services Representative (PSR) serves as the first point of contact for patients and visitors, providing a welcoming, professional, and efficient front office experience. This role is essential to the smooth operation of our clinics and plays a key part in ensuring every patient receives exceptional service from the moment they arrive.

Duties

• Greet and check in patients in a timely, courteous, and professional manner
• Schedule, confirm, and coordinate patient appointments across providers and specialties
• Verify insurance eligibility and benefits prior to and at the time of service
• Collect co-pays, deductibles, and patient balances; process payments accurately
• Review and update patient demographic and insurance information in the EHR system
• Scan and index incoming documents and maintain accurate medical records
• Resolve patient questions regarding appointments, insurance, and billing or direct them to the appropriate department.
• Collaborate with clinical staff to support efficient patient flow
• Adhere to HIPAA guidelines and Graybill policies regarding patient privacy and confidentiality
• Support a positive, team-oriented front office environment
• Communicate wait times, scheduling changes, or delays to patients with transparency
• Process patient registration forms and required documentation
• Obtain referrals and prior authorizations as needed
• Answer and route incoming telephone calls

Qualifications:

• High school diploma or equivalent required; some college preferred
• 1 years of experience in a medical front office, receptionist, or customer service role preferred
• Familiarity with EHR systems (NextGen experience a plus)
• Experience verifying insurance eligibility, obtaining referrals or prior authorizations, and collecting patient financial responsibility preferred
• Strong communication skills — warm, clear, and professional with patients and staff
• Ability to multitask in a fast-paced clinical environment
• Bilingual (English/Spanish) a plus

Physical Requirements

• Ability to sit and stand for extended periods.
• Frequent use of computers and standard office equipment.
• Occasionally lift or move up to 20 pounds.

Pay: $25.00 - $35.00 per hour
