General Job Description
The Shipping Coordinator creates shipping labels, then monitors, and tracks those orders to ensure shipping meets established delivery timelines. They are responsible for overseeing and managing the entire shipping process to ensure timely and accurate delivery of goods. This role involves coordinating with various departments, handling shipping documentation, and maintaining records of all shipments while maintaining a presence in the warehouse to monitor any special orders. The Shipping Coordinator is expected to be present at the beginning and end of each day to complete timed shipping operations.
Role and Responsibilities
- Receives, processes, and submits orders for standard GIS items with existing customers.
- Verifies customer and order information for accuracy, ensuring the required data, item pricing, and details are included for efficient and timely processing of the order.
- Informs customers by email or phone of order status updates, shipping dates, and any anticipated delays.
- Creates shipping labels through UPS WorldShip, FedEx, or internal ERP systems according to customer preference for carrier and shipping speed. (PAC, Sales Orders, and Project Shipments)
- Schedules pickups and deliveries through local courier services, as well as truck orders for large shipments.
- Collaborates with Print, Production, Shipping, and Customer Service Representatives to ensure orders are shipped correctly and efficiently (address, speed, box weights, etc.)
- Tracks and provides status updates for rush orders to ensure the order is shipped promptly.
- Consistently monitors shipping rack, shipping notifications, and shared shipping inboxes as orders are marked "Ready to Ship."
- Reships product returns and updates inventory, as well as communicate cross-departmentally to ensure products are tracked effectively.
- Performs Shipping beginning-of-day and end-of-day activities (UPS WorldShip)
Qualifications and Education Requirements
- High School Diploma or equivalent
- Customer Service experience
- Shipping experience is preferred
