The Role: Visual Capture Administrative Assistant
As the Visual Capture Administrative Assistant, you’ll provide essential support to our Visual Capture (VC) department, helping organize schedules, coordinate logistics, and manage operational details that keep our team running smoothly. You’ll also collaborate across departments- from Business Development and Accounting to Marketing and Corporate Support- making this a dynamic and impactful role.

The Role: Visual Capture Administrative Assistant
As the Visual Capture Administrative Assistant, you’ll provide essential support to our Visual Capture (VC) department, helping organize schedules, coordinate logistics, and manage operational details that keep our team running smoothly. You’ll also collaborate across departments- from Business Development and Accounting to Marketing and Corporate Support- making this a dynamic and impactful role.
We Could Count On You With
Supporting the VC Team:
- Organize weekly and monthly work schedules
- Manage calendars, meetings, expenses, and travel arrangements
- Track working hours and assist with monthly metrics and KPIs
- Handle purchases and ensure accurate billing
- Conduct outreach to Midwest counties and track potential opportunities
- Monitor upcoming leads and collaborate with MarComm on RFPs
- Set up new projects for billing and cost tracking
- Maintain job cost ledgers and update billing information
- Ensure compliance documentation is organized
- Coordinate equipment rentals and billing with Granger’s yard
- Assist the admin team with general office responsibilities
- Provide backup phone coverage as needed
- 5 years of administrative experience
- Advanced proficiency in MS Word, Excel, PowerPoint, and PDF tools
- Strong service orientation and communication skills
- Ability to anticipate needs and proactively solve problems
- Tenacity and follow-through to meet deadlines
- Familiarity with public entities and procurement processes (preferred but not required)
