Description: The Sales & Catering Assistant plays an essential role in supporting the Director of Sales and Catering Sales Managers with the administrative and operational functions that drive group and catering business. This position helps ensure the seamless coordination of meetings, events, and group stays by managing contracts and proposals, monitoring room blocks, coordinating with hotel departments, and maintaining accurate sales records and reporting.Success in this role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities while maintaining the high level of service expected in a luxury hospitality environment.Key ResponsibilitiesPrepare and distribute contracts, proposals, and client correspondenceManage group room blocks, rooming lists, and reservation adjustmentsProcess deposits and finalize billing for group and catering eventsEnter and track leads, bookings, and lost business in sales systemsAssist with sales reports, forecasting, and revenue trackingCoordinate with front office, housekeeping, and food & beverage teams to ensure successful events and group staysPrepare group resumes, reader boards, and VIP amenitiesMaintain organized sales files and account recordsAssist with client inquiries and support sales managers with site visits and property toursSupport weekly room pickup meetings and sales reportingIdeal Candidate QualificationsPrevious experience in hotel sales, catering, front office, reservations, or event coordination preferredExperience working in a hotel or hospitality environment strongly preferredFamiliarity with hotel sales or property management systems (such as Infor SCS, Infor HMS, Delphi, Opera, or similar systems) is a plusStrong organizational and time management skills with exceptional attention to detailAbility to manage multiple projects and meet deadlines in a fast-paced environmentProfessional communication skills with a strong focus on guest serviceProficiency with Microsoft Office (Word, Excel, Outlook) and sales reporting toolsA team-oriented attitude with the ability to collaborate across departmentsRequirements:
