Curatorial Assistant
Part-Time: 16 hours/week
Worksite: In-Office, Ideally Tuesdays and Thursdays
Reports to: Curator of Collections and Exhibitions
Position Summary:
The Curatorial Assistant provides direct administrative support to the Curatorial department of the Grand Rapids Art Museum. The Curatorial Assistant schedules and runs curatorial and interdepartmental meetings, creates meeting agendas and presentations, assists with invoicing and budget tracking, keeps department calendar, makes travel arrangements, fields and responds to inquiries from artists and the public, assists with correspondence, creates and maintains files, drafts exhibition labels and texts for internal documents and website, and conducts exhibition and acquisition research.
Job Functions
Administrative Support
· Assist with scheduling, meeting coordination, and departmental communications.
· Prepare correspondence, reports, presentations, and internal documentation as requested.
· Maintain both digital and physical files to ensure accessibility and accuracy.
· Process invoices and credit card statements and track department spending.
· Respond to public inquiries regarding GRAM’s collection and exhibition program, including offers of art donations or sales.
Exhibitions and Program Support
- Assist with compiling exhibition checklists, loan forms, and related documentation.
- Proofread and format exhibition texts, labels, and related materials.
- Coordinate with other museum departments to support logistical needs.
· Assist with the coordination of GRAM-organized and travelling exhibitions, including communication with artists, galleries, lenders, and other cultural institutions.
· Conduct research related to collection objects, exhibitions, publications, and other curatorial projects.
· Coordinate Curatorial Department events and lectures and coordinate speaker travel and itinerary.
Qualifications
· BA in art history, arts administration, non-profit management, or similar field of study preferred.
· 1–2 years of administrative support experience preferred.
· Well-developed written and verbal communication skills. Demonstrated editing and proofreading skills.
· Strong attention to detail and accuracy.
· Computer proficiency with PC and Mac, and Microsoft Office Suite, including Excel and PowerPoint. Experience with collections databases would be ideal.
· Excellent interpersonal skills. Self-directed, ability to anticipate actions needed. Ability to juggle multiple tasks and meet demanding deadlines.
Pay Rate: $18/hour
*This position has been funded on a one-year term for 2026. Potential exists for ongoing support but that won’t be finalized until later in 2026.
