Position Summary:
The Personal Assistant – Legal role will provide direct support to executive leadership by assisting with legal and contractual matters, organizing and reviewing legal documentation, tracking contractual obligations and action items, and supporting follow-up with internal and external parties. This individual will assist in reviewing contracts and agreements, identifying key terms and requirements, and helping assess the business and legal considerations of potential deals based on contractual language. The ideal candidate will have a strong foundational understanding of legal concepts, contract terminology, and legal documentation, with the ability to read, comprehend, and interpret contractual language. This is an entry-level opportunity suited for an individual with approximately 1–2 years of professional experience, recent legal studies, or a combination of relevant education and work experience who is eager to apply their legal knowledge in a business environment.
Key Responsibilities:
- Draft, proofread, and organize legal correspondence, contracts, agreements, and corporate documents.
- Maintain confidential legal records and ensure proper document retention.
- Coordinate with internal departments and outside legal counsel regarding ongoing matters.
- Track contract deadlines, renewals, litigation schedules, and regulatory filings.
- Assist with corporate governance documentation, board meeting preparation, and meeting minutes.
- Review documents for formatting, accuracy, and completeness prior to executive review.
- Conduct legal and business research as requested.
- Prepare presentations, reports, and executive summaries.
- Screen calls, emails, and correspondence while maintaining confidentiality.
- Coordinate special projects and perform other administrative duties as assigned.
Qualifications:
- Bachelor's degree in Legal Studies, Paralegal Studies, Business Administration, or related field preferred.
- This is an entry-level position that will gain experience supporting executives, attorneys, and corporate legal departments.
- Strong understanding of contracts, corporate governance, and legal terminology.
- Excellent written and verbal communication skills.
- Proficient in Microsoft Office Suite, Adobe Acrobat, and document management systems.
- Experience using AI-powered tools to assist with legal research, contract summaries, document preparation, meeting notes, and administrative workflow management while maintaining strict confidentiality and professional judgment.
- Exceptional organizational and time management skills.
- Ability to maintain strict confidentiality and exercise sound judgment.
Physical Requirements:
- Work Environment: This job operates in a professional office setting. The role may require occasional travel and flexible working hours.
- Physical Demands: This role requires the ability to sit for extended periods while working on a computer. Ability to occasionally lift and carry up to 20 pounds.
