Position Overview:
Gramatan Management, Inc. is seeking a professional and detail-oriented Administrative Assistant to support the daily operations of a large cooperative residential community in Mount Vernon, NY. The position requires strong organizational skills, sound judgment, and the ability to handle confidential information with discretion while providing efficient administrative support to the Property Manager and Board of Directors.
Key Responsibilities:
- Provide comprehensive administrative and clerical support to the Property Manager.
- Coordinate and prepare applications for admissions, board review, and resident communications.
- Assist with resident account maintenance, billing updates, and monthly arrears tracking.
- Maintain accurate records, including invoices, payroll data, and resident files.
- Attend one board meeting on a monthly basis and record meeting minutes.
- Manage internal communications and document distribution.
- Ensure compliance with established property management procedures and timelines.
Qualifications:
- Minimum 2 years of administrative or property management experience required; cooperative/condominium background preferred.
- Strong proficiency in Microsoft Office (Word, Excel, Outlook); experience with RIS or comparable management software preferred.
- Excellent written and verbal communication skills.
- Ability to prioritize, multitask, and maintain accuracy under tight deadlines.
- Professional demeanor, reliability, and a strong sense of accountability.
Pay: $48,000.00 - $53,000.00 per year
