Job Summary:
We are seeking a motivated and detail-oriented Property Management Administrative Assistant to join our team. This on-site position is based at a co-op building with over 600 units located in the Upper West Side of Manhattan. In this role, you will support our property management team with administrative tasks, ensure seamless day-to-day operations, and contribute to the overall efficiency of the office. Candidates must have at least 3 years of experience in property management to be considered for this position.
Key Responsibilities, but are not limited to:
- Serve as a point of contact for co-op residents, addressing inquiries and coordinating with management.
- Provide exceptional customer service to residents, vendors, and internal teams.
- Manage and organize property management documents, including contracts, resident records, and building documentation.
- Schedule appointments, meetings, and service requests for management and board of directors.
- Assist in preparing building notices, newsletters, and community updates.
- Maintain accurate property and resident records, ensuring compliance with building policies and industry regulations.
- Monitor deadlines and assist with compliance requirements and building projects.
Qualifications:
- At least 3 years of experience in property management or a related field is required.
- Proven experience in administrative support in the property management industry.
- Proficiency with Microsoft 365, Yardi, BuildingLink, and Adobe (or similar platforms) is preferred.
- Strong customer service skills required, with the ability to address concerns professionally and effectively.
- Must be a team player while also capable of working independently on tasks with minimal supervision.
- Preferred candidates will have some level of experience with transfers and closings.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Ability to work in a fast-paced environment.
- High school diploma or equivalent required; additional certifications (e.g., Notary Public, Real Estate License) are advantageous.
Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
