Job Description
Position Objective: The primary function of this role is to support the Pastor and congregation as the organizational hub of the church, through the responsibilities listed below, and by providing a welcoming presence for phone calls and visitors to the church during office hours.
Preferred Qualifications: Prior work experience as an office administrator/secretary is preferred, but not required; knowledge and proficiency with standard computer word processing programs and email; experience posting on Facebook, and other social media platforms; experience using Mailchimp, Sign-Up Genius, Google Forms, Google Docs, and other related technology tools; excellent interpersonal, communication and organizational skills; high attention to detail; ability to maintain confidentiality; reliable and flexible; willingness to learn; ability to work well with others as part of a team.
Hours: Mondays, Wednesdays & Fridays: 9:00 a.m. – 12:00 p.m. (9 hours/ week)
Salary: $18/hour
Responsible to: Staff-Parish Committee and the Pastor
Benefits: No benefits are included in this position.
The responsibilities of the Office Administrator in the regular operation of the church will include:
- Screening and routing incoming phone calls; taking and forwarding messages
- Preparing, printing and folding of bulletins and inserts for weekly and special worship services; emailing the weekly worship link with bulletin and hymns
- Updating the church’s Facebook pages and Web site on a weekly basis
- Composing and emailing of the Grace Weekly Update using Mailchimp
- Responding to emails directed to the church office address
- Collecting, sorting and delivery of mail
- Organizing, ordering and dispensing office, worship, maintenance and general supplies
- Maintaining the congregational calendar and the facilities’ use calendar
- Maintaining attendance records
- Maintaining weekly worship reports
- Routine filing and records maintenance and organization
- Emailing and snail mailing schedules and reminders to: ushers, lectors, coffee hour hosts, Communion stewards, Sunday School volunteers, volunteer drivers, and others as needed
- Sending other informational emails to the congregation at the Pastor’s request
- Creating event flyers and publicity
- Composing, updating and posting monthly birthdays list
- Updating Directory program and printing directory
- Notifying Membership Secretary of all changes in address and phone information
- Document and booklet preparation, including electronic documents, for annual Charge/Church Conference, in cooperation with the Pastor
- Compiling and distributing notes for monthly Church Council and other meetings
- Setting up Zoom meetings as requested by the Pastor and Committee Chairs; pulling recordings from the cloud onto the office computer and filing in an organized manner
- Creating PowerPoint announcement and service related slides to be shown during the services
- Making copies, as requested by the Pastor, church committee members and others
- Notifying the pastor of memorial gifts with all information necessary to send a thank-you card, as well as maintaining the memorial gift records
- Ensuring the safety of data maintained on the church computer by performing routines backups and checking the content
- Updating the bulletin board with the latest committee reports
- Other duties, as may be required by the Pastor
