What are the responsibilities and job description for the Rentals Billing Specialist position at Grace Pacific LLC?
PRINCIPAL DUTIES
• Compiles quotes, pre-payments and all related job documents (Sub-Contracts, Work Authorizations, Purchase Orders, Work Logs, etc.) in order to process rental orders accurately and timely.
• Organizes and sorts daily/weekly rental contracts by customer, project and/or other criteria so that job order data can be entered into the rental management software system.
• Inputs job order data and rental rates into the rental management software system and and generates final rental contract. Creates daily summary rental contract report and submits to accounting for invoice processing. runs automated invoice setup for month-end closing, ensuring that closing deadline is met.
• Generates non-invoiced rental order reports weekly during each month to ensure open rental orders are current and researches delinquent/questionable open rental orders with Dispatchers.
• Does Research to resolve billing discrepancies and takes corrective measures. Generates credit memos and rebills accordingly for incorrect invoices.
• Assists accounting and projects staffs with follow ups to customers on payments for past due invoices and assists the department with COD payment processing.
• Assists the Rentals Administrative Support person with general office duties.
• Assists Dispatchers with logistics and crew scheduling.
• Performs other duties as assigned.

PRINCIPAL REQUIREMENTS
Education High School graduate
Experience 6 months relevant experience in a similar operation; familiarity with contracting services, equipment rental and/or dispatching helpful.
Computer Skills Working knowledge of Word, Excel, Email. Adaptable to in-house software. Keyboarding skills sufficient to complete tasks in a timely manner.
Calculator 10 key by touch.
Math Uses basic math functions to perform daily tasks.
Reading Must be able to read and understand business documents and compose memos and other correspondence.

Other Good organizational administrative skills to multi-task effectively.
