Position Overview:
The Office Administrator plays a leading role in coordinating various communications between departments by organizing & distributing event documents, receiving & distributing mail, generating & distributing event reports, collaborating with colleagues, taking notes in meetings, and managing & attending key operations meetings. The role is responsible for office management, front desk operations, and supporting leadership.
The role is based at 931 Hyde Park Avenue, Hyde Park MA. The schedule is 7:00am/7:15am to 4:00pm/4:15pm Monday through Friday. The Office Administrator attends and participates in a daily 7:30am kitchen meeting.
Responsibilities include:
· Manage distribution of kitchen worksheets and BEOs (banquet event orders)
· Run BEO meetings twice weekly
· Attend daily kitchen meeting at 7:30am to review the current day’s and the next day’s kitchen orders
· Maintain and edit menu details, event items, and document details in the company’s catering software (total party planner)
· Office management and organization
· Front desk management and being point person for greeting office guests
· Creating BEOs for select clients and venues
· Leadership support and schedule management
· Create and distribute event reports
· Collaborate with colleagues in sales office on client facing documents and communications
· Manage incoming phone calls and phone leads
· Perform other administrative tasks as needed
Required Qualifications
· Intermediate to advanced proficiency in Microsoft Excel
· Experience using Canva, Powerpoint, Adobe, or other design software
· Database management experience
· Exceptional attention to detail
· Strong organizational, observational, and time-management skills
Preferred Qualifications
· Experience with Total Party Planner and/or Caterease
· Financial or accounting experience
· Catering or hospitality industry experience
· Experience as office manager, executive assistant, or other administrative role
Pay: $31.00 - $34.00 per hour
