Marketing and Customer Experience Coordinator

GoRockford is seeking a candidate to provides excellent customer service both in person and over the phone while also supporting the efficiency and effectiveness of the Marketing and Destination Development teams by executing a range of responsibilities. 

ESSENTIAL FUNCTIONS: 

Marketing 

  • Assist with website changes and CRM updates, as needed 
  • Assist with social media content, including video and photo procurement, editing and suggested trends , as needed 
  • Oversee creation of a blog calendar and write blogs, as requested 
  • Assist with drafting News Releases, Go Guide and other marketing documents, as requested. 
  • Makes copies, sends communication, and composes and types letters, memos and presentations 
  • Track visitor inquiries by entering into excel and Simpleview 
  • Maintain GoRockford Store website and oversee square accounts 

Receptionist/Front Desk 

  • Serve as the primary ‘point-person’ for GoRockford in greeting guests in person and on the phone while sitting at the front desk 
  • Process and distribute in-coming and out-going mail and packages (UPS, FedEx etc.) 
  • Mail out visitors’ requests for information 
  • Keep mailroom and supplies tidy 
  • Respond to email requests in the info@gorockford email account. 
  • Ensure receptionist area and all common areas are clean, including meeting rooms and kitchen, at beginning and end of day 
  • Maintain calendars for meeting rooms in Outlook 
  • Prepare for internal and external meetings by stocking meeting rooms with beverages, setting up electronic equipment, and other prep as necessary 
  • Clean up meeting rooms after meetings are over, including putting away food and beverages, electronic equipment 
  • Maintain kitchen and backroom cleanliness, including loading and unloading dishwasher, organizing supplies and restocking 
  • Maintain brochure racks, kiosks and posting board in the reception area by filling and straightening racks, removing dated materials and ordering brochures as necessary 
  • Source, stock and sell souvenir items to customers and monitor souvenir inventory 
  • Receive requests for donations of gift baskets and bags, send response to requestors, fill donation requests for gift baskets and bags 
  • Open and close office, including unlocking doors, making coffee, checking mailbox, etc. 
  • Maintain standardization of templates for memos, letters, stationery, etc. 
  • Create name tags for new staff, volunteers, interns, volunteers & outside contractors 
  • Set up and stock desks for new hires 
  • Order office and kitchen supplies, as needed 

Administrative Support 

  • Create sponsor and donation confirmation letters 
  • Assists with event planning and production, as requested. 

CRITICAL KNOWLEDGE, SKILLS AND ABILITIES: 

  • Create a welcoming environment for customers and stakeholders 
  • Possess strong customer service, interpersonal, and communication skills 
  • Effectively manage multiple tasks and projects with competing deadlines 
  • Present information and respond to questions from the public (media, hospitality, business) 
  • Be available for evening/weekend meetings and events on occasion 
  • Bilingual with competency in written and verbal communication is a plus 
  • Willingness to embrace and adhere to GoRockford’s standards and corporate culture 
  • Willingness to work well in a fast-paced team environment 
  • Dress appropriately for a professional office environment 
  • Ability to deal with and solve practical problems 
  • Ability to write reports, business correspondence, and procedure manuals 
  • Proficient with computer software knowledge a must – Microsoft Office Suite, Outlook. Will teach Simpleview, Square Point of Purchase, etc.

EDUCATION/EXPERIENCE REQUIREMENTS High school diploma/GED required, prefer associate degree in Liberal Arts or Business plus at least 2 years related experience; or equivalent combination of education and experience. Destination/tourism work experience is a plus. Must have valid driver’s license and reliable transportation. A strong passion for the Rockford Region (Winnebago County) is a plus. A high focus on positive culture building in a teamwork environment is a plus. 

PHYSICAL REQUIREMENTS 

  • Office Work - Light Exertion up to 20 lbs. force occasionally and/or up to 10lbs. frequently. 
  • During Events - Medium Exertion up to 50 lbs. force occasionally, and/or up to 20 lbs. frequently. 
  • Perform repetitive tasks/motions. 
  • Ability to see. 
  • Hear alarms/telephones/normal speaking voice. 
  • Have good manual dexterity. 
  • Have good eye-hand-foot coordination. 
  • Ability to stand and/or walk for long periods of time. 
  • Ability to work outside in extreme weather conditions (during GoRockford led events)

Salary Range: $18-22 per hour (depending on experience)

Schedule: Full Time
