The Accounts Payable Administrator is responsible for the payment of goods and services purchased by the organization. This role also serves as an auditor, ensuring that invoices are accurate and that proper accounting procedures are followed for the purchasing and payment of goods and services.
Essential Functions
- Reviews all invoices for appropriate documentation and approval prior to payment
- Codes purchases of goods and services to proper G/L accounts by analyzing invoices
- Reconciles processed work, verifying entries to system reports and balances
- Prints and obtains signatures on all accounts payable checks
- Distributes signed checks as required
- Provides clerical and administrative support to management as requested
- Answers vendor inquiries
- Maintains all accounts payable reports, spreadsheets and accounts payable files
- Assists in monthly closings and audits as necessary
- Prepares analysis of accounts, as required
- Processes check requests, ensuring all appropriate approvals have been received
- Protects organization by keeping information confidential
- Opens mail daily

Supervisory Responsibility
This position has no supervisory responsibilities.
Work Environment
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands
This is a largely sedentary role; however, filing is required. This would require the ability to lift files, open filing cabinets and bend or stand on a stool as necessary.
Position Type and Expected Hours of Work
This is a full-time position. Typical days and hours of work are Monday through Friday, 8:00 a.m. to 5:00 p.m. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:00 a.m. to 4:00 p.m..
Education and Experience
- High school diploma or equivalent.
- Minimum of two years’ previous experience.
