Job Summary: Provides personal secretarial support for the Vice-President of Human Resources. Performs a variety of clerical functions including scheduling, typing, filing, dictation, transcription, and reception.
Essential Job Duties:
- Answers, places, and screens telephone calls; appropriately directs call.
- Opens, reviews and prioritizes mail and interdepartmental correspondence.
- Coordinates the scheduling of meetings and organizes meeting materials as needed, including Shining Star Committee, Work Comp Reviews, Staff Meetings, etc.
- Meets with new hires to complete onboarding documentation requirements.
- Serves as the first point of contact for employees and visitors to the department. Assists and directs visitors to appropriate resources or contacts.
- Collects and organizes employee documents for regulatory inspections and overall personnel maintenance within Oracle system.
- Serves as the primary departmental resource to assist employees throughout the Oracle Employee Self Service experience.
- Performs duties relating to special projects as requested.
Secondary Job Duties:
- Monitors and orders office supplies for the department.
- Provides clerical support for other areas when needed.
- Set up and schedule new management orientation for new leaders in the organization.
- Process and deliver employee Service Awards to departments.
Job Specifications:
- Education: High School Diploma/GED required:
- 3 to 5 years experience in similar position. Knowledge of software applications and administrative and clerical procedures. Proficient in spelling, grammar, punctuation, and other language skills. Proficient in keyboarding, data entry and business writing.
