Sales Coordinator

Position Summary
The Sales Coordinator is the operational backbone of the Wholesale team. You are the person who keeps deals moving, information flowing, and the team organized and supported across both sides of the business: our cannabis tinctures sold into licensed Massachusetts dispensaries and our hemp products (THC seltzers, gummies, and beverage enhancers) sold into hemp-permitted retail accounts. You will ensure buyers, internal teams, and field reps have what they need to execute quickly and accurately. In a fast-moving cannabis and hemp market, this role maintains the structure, speed, and consistency that allow the sales team to focus on selling.
This is a detail-driven, high-volume role for someone who thrives on process, loves clean systems, and gets satisfaction from being the person who keeps everything running smoothly behind the scenes. You’ll work closely with the Sales Manager and Account Executives, as well as Production, Fulfillment, Finance, and Marketing to make sure nothing falls through the cracks.
Key Responsibilities
Sales Operations & Support
- Manage order entry, tracking, and accuracy across internal systems including Apex Trading (cannabis), AirGoods (hemp), HubSpot, METRC, and Distru.
- Maintain up-to-date product lists, menus, pricing sheets, and promotional calendars.
- Support Account Executives with account needs, follow-ups, and documentation so they can stay focused on selling.
- Prepare sales decks, one-pagers, and sell-through reports as needed.
- Assist with onboarding new accounts and ensuring all compliance documentation is complete.
- Serve as the direct point of contact when delivery or product issues arise and drive timely, solution-based resolution.
- Maintain and update sales and customer records including licensing, contacts, and account history.
- Compile weekly sales reports for leadership.
Communication & Coordination
- Serve as the central point of contact between Sales, Production, Fulfillment, and Finance to keep all teams aligned.
- Communicate inventory availability, product changes, and order status updates to Account Executives and buyers.
- Coordinate with Marketing on promotional assets, product launches, and brand materials.
Data, Reporting & Tracking
- Maintain HubSpot, Apex Trading, and AirGoods accuracy, including account notes, contact info, product catalogs, pricing, and pipeline updates. Take ownership of ongoing data hygiene and cleanup across all platforms.
- Pull and distribute weekly and monthly sales reports for leadership.
- Track promotional performance, sell-through, and account engagement.
- Monitor inventory levels and flag risks or opportunities to the Sales Manager.
Administrative & Compliance Support
- Ensure all orders meet Massachusetts state compliance requirements.
- Assist with METRC manifests, labeling checks, and documentation.
- Maintain organized digital filing systems for contracts, COAs, and account records.
Qualifications
- 1 to 3 years of experience in sales support, sales coordination, administrative operations, or account management.
- Cannabis industry experience strongly preferred.
- Experience with HubSpot or similar CRM required; experience with Apex Trading, AirGoods, and/or Distru preferred. Comfortable managing data, pipeline updates, and reporting.
- Strong organizational and multitasking skills. You can juggle shifting priorities without dropping the ball.
- Excellent written and verbal communication.
- Comfortable with spreadsheets, reporting tools, and maintaining data accuracy.
- High attention to detail and follow-through.
- Proactive communicator who doesn’t wait to be asked.
- Ability to work in a fast-paced, evolving environment.
- Must be 21 and able to obtain any required state-issued cannabis employee badges or credentials.

- $45,000 to $60,000 base salary depending on experience
