Department Overview

Operations is comprised of two separate departments, each with distinct roles and responsibilities. The Settlement & Funding Team is responsible for the pre-closing process which includes deal and fee structure, trade activity, document management, KYC and settlement coordination. The Portfolio Administration Team is responsible for the booking of deals, daily servicing activity including payment processing, advances and rate resets as well as the maintenance of referential data. The Operations Team plays a pivotal role in the data integrity of the investment portfolios and they collaborate closely with many other areas of the Firm including the Front Office, Treasury, Tax and Fund Accounting.

Position Responsibilities

The Portfolio Administrator will oversee and handle a portfolio of 50 – 70 active credit facilities. This role ensures the coordination of timely settlements on syndicated loan trades and traditional private transactions. This position serves as the liaison for borrowers and investors by responding to, resolving and expediting inquiries, discrepancies and special requests.

Responsibilities Include, But Are Not Limited To

  • Monitoring and processing daily activity on bank loans including trade settlement, draw downs, pay downs, interest payments, principal payments, PIK loans, skim payments, agented deal transactions, internal transfers, manual interest calculations, fee calculations, interest adjustments, cash reconciliation, book transfers and wires
  • Preparing billings and payoff letters for the Borrower
  • Preparing weekly team and departmental activity reports as well as any past due reports
  • Providing operational support to Managers / Analysts as well as the Debt and Treasury Teams, as needed
  • Attending deal closing meetings for accurate handling and disbursement of fees
  • Abiding by set service level agreements (“SLAs”) to clients and leadership

Candidate Requirements

Qualifications & Experience:

  • Bachelor’s degree required
  • Relevant experience in various facets of loan servicing including agency services and funding responsibilities in a similar business is strongly desired (private equity / leveraged finance / hedge fund or similar)
  • Intermediate to advanced proficiency in Excel, proficiency in Wall Street Office or similar applications is a strong plus
  • Proven ability to analyze credit agreements and related documentation for accuracy and booking terms
  • Enthusiastic about working in office and creating a Gold Standard hybrid work culture

  • Settlements Process: Understands the process of funding and settling trades and other agreements. Ensures accuracy in documentation and works with various parties to carry out the process.
  • Portfolio Administration: Manages daily processing related to agented and non-agented deals (e.g., rollovers, advances, credits, wire requests) for a portfolio and ensures cash is reconciled with loan accounting group.

Compensation And Benefits

For Illinois Only: It is expected that the base salary range for this position will be $67,500 to $95,000. Actual salaries may vary based on factors such as skills, experiences and qualifications for the role. The total compensation package for this position may also include other elements and discretionary awards in addition to a full range of medical, financial and / or other benefits (including 401(k) eligibility and various paid time off benefits such as vacation, sick time and parental leave) dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment. If hired, the employee will be in an ‘at-will position’ and the Firm reserves the right to modify base salary (as well as any other discretionary payment or compensation program) at any time including for reasons related to individual performance, Firm or individual department / team performance and market factors.
