We are looking for a full-time Window & Door Sales Coordinator

*This position is located onsite and is not a remote or hybrid position.

Responsibilities/Job Description

• Accurately enter sales orders into internal and supplier systems, ensuring completeness and alignment with customer specifications
• Generate and manage purchase orders, track supplier confirmations, and maintain order documentation for accuracy and compliance
• Serve as a point of contact for basic customer inquiries and vendor communication, including updates on order ETA, status, returns, and logistics handling
• Create purchase agreements, process customer payments, support AR workflows, and help resolve “on hold” orders or accounts by reconciling financials between order acknowledgement and supplier invoice.
• Support Dispatch to help ensure job site readiness and delivery accuracy
• Coordinate customer returns, working with the sales team, operations, vendors and accounting to ensure timely and accurate resolution
• Assist with Will Call order coordination at the branch, ensuring documentation, communication, and system updates are completed correctly
• Manage assigned dashboards to ensure order accuracy, visibility, and progress tracking across all departments
• Respond promptly to inquiries from vendors, customers, Sales, Operations, or Accounting regarding order handling, timelines, and documentation
• Support SOP adherence and team documentation efforts; contribute to ongoing process refinement and team training as needed
• Remain flexible and adaptable in a fast-paced, evolving environment, contributing to a culture of continuous improvement and collaboration

Experience

• 1–2 years of experience in order processing, data entry and customer service, experience in building materials or construction industry is a plus
• Proven ability to ensure accurate order management and documentation
• Strong attention to detail with excellent organizational and follow-through skills
• Professional communication skills and a collaborative approach to cross-functional work
• Proficient in Microsoft Office Suite, including Excel and Outlook; experience with ERP or order entry systems preferred
• Familiarity with AR processes, payment handling, and customer account support is highly desirable
• Strong problem-solving mindset with the ability to identify issues and proactively resolve or escalate as needed
