Position Summary
The Administrator is responsible for overseeing the day-to-day operations of the agency, ensuring compliance with state DHS regulations, supporting office staff and caregivers, and managing key administrative functions. This role plays a central part in maintaining quality care, supporting clients and caregivers, assisting with prior authorizations, and contributing to growth and efficiency. The ideal candidate is organized, dependable, mission-focused, and experienced in home care or healthcare administration.
Key ResponsibilitiesLeadership & Team Support
- Provide general oversight and support to office staff, schedulers, and caregivers.
- Assist with staff onboarding, training, and coordination.
- Promote a positive and supportive team environment aligned with the company’s mission and values.
- Help facilitate team meetings, updates, and communication.
Compliance & Policy Management
- Ensure compliance with state DHS rules and regulations for non-medical personal care services.
- Maintain agency policies, update procedures, and ensure staff follow regulatory standards.
- Prepare for audits, surveys, and compliance reviews.
- Maintain accurate documentation, client files, and authorization records.
Operations & Administrative Management
- Oversee daily office operations, workflow, and administrative processes.
- Support scheduling teams with coverage needs, call-outs, and client service changes.
- Assist with prior authorizations, care plan updates, unit tracking, and service documentation.
- Monitor key performance areas such as caregiver attendance, missed visits, and service quality.
Client & Caregiver Relations
- Communicate with clients, families, and caregivers to resolve concerns professionally.
- Conduct follow-ups, satisfaction checks, and service-related updates.
- Support strong client relationships and a positive experience for all involved.
Reporting & Technology
- Utilize Excel and agency software (such as WellSky, ClearCare, AxisCare, or similar) to track data and prepare reports.
- Maintain accurate records, documentation logs, and compliance tracking.
- Assist with reporting related to authorizations, scheduling, quality assurance, and operations.
Marketing & Growth Assistance
- Support basic marketing and outreach efforts, such as maintaining referral relationships and assisting with community engagement.
- Help ensure the agency presents a professional image in the community and with partners.
Qualifications
- Associate’s or Bachelor’s degree in Healthcare Administration, Business, or related field preferred.
- 2–4 years of experience in home care, healthcare administration, or related field.
- Understanding of DHS rules and program requirements for personal care agencies.
- Experience with prior authorizations, service documentation, and compliance.
- Proficiency in Microsoft Excel and office software.
- Strong communication, organizational, and problem-solving skills.
- Ability to work well with teams and support a positive organizational culture.
- Passion for helping clients and supporting caregivers.
Job Type: Full-time
Pay: $63,000.00 - $65,000.00 per year
