Job Description:
We are looking for a proactive and detail-oriented Bilingual (Chinese and English) Administrative Assistant to join our team. This role supports the day-to-day operations of our office and ensures a seamless and efficient work environment for all employees.
Responsibilities:
· Lease Contract Management: Oversee the signing, renewal, and administration of vehicle lease agreements. Ensure clear contract terms, monitor expiration dates, and maintain organized records.
· Insurance and Documentation Oversight: Ensure that all leased vehicles have valid insurance coverage that aligns with company requirements. Regularly check vehicle registration, inspection certificates, and related documents for compliance.
· Usage Tracking and Expense Monitoring: Maintain detailed logs of vehicle usage, including mileage, trip purpose, driver information, and time of use. Track lease fees, fuel costs, tolls, and other related expenses to support financial planning and reporting.
· Maintenance and Incident Reporting: In case of mechanical issues or damage, promptly report to the leasing company, coordinate necessary repairs, and follow up on resolution while keeping relevant parties informed.
· Vendor Communication and Coordination: Act as the key point of contact between the company and vehicle leasing vendors. Handle service inquiries, provide feedback on vehicle condition and service quality, and assist in optimizing leasing solutions.
· Driver Coordination and Policy Enforcement: Coordinate driver schedules, ensure responsible vehicle use, and reinforce compliance with company vehicle policies and safe driving practices.
· Accident Handling Assistance: Support in handling vehicle-related incidents or accidents by assisting drivers on-site, liaising with the leasing and insurance companies, and working with legal or HR departments as needed.
· Administrative Support: Assist the administrative team in organizing vehicle records, updating vehicle rosters, tracking contract expiration dates, and preparing regular reports on usage and expenses.
· Compliance and Risk Control: Ensure all leased vehicles comply with local traffic laws and regulatory requirements, minimizing operational risks and legal liabilities.
· Emergency Response Support: Respond to unexpected situations such as vehicle breakdowns or last-minute transportation needs to ensure smooth business operations.
Qualifications:
· Language: Fluency in both Chinese (Mandarin) and English is required.
· Experience: Previous experience in administrative support, office management, or a related role is preferred.
· Skills: Strong organizational skills, attention to detail, and ability to manage multiple tasks. Basic proficiency in Microsoft Office (Word, Excel, Outlook).
· Communication: Excellent interpersonal and communication skills for handling inquiries, visitors, and internal support tasks.
· Problem-Solving: Resourceful, with the ability to handle basic maintenance tasks and solve issues independently.
· Professionalism: Friendly, professional, and able to maintain confidentiality when handling company and employee records.
