POSITION SUMMARY

GML Industries Midwest is seeking a customer-focused, highly organized Customer Service & Office Manager to serve as the commercial and administrative hub for our wire-harness, cable assembly, control-panel, and electrical-console manufacturing operations. This combined role unifies customer service management, inside sales support, quoting coordination, and office administration under a single position — ideal for a driven professional who excels at building customer relationships while keeping daily operations running smoothly.


The Customer Service & Office Manager owns the full customer lifecycle from RFQ through order delivery, manages vendor and partner relationships, coordinates cross-functional communication between sales, engineering, and production, and oversees day-to-day office administration, HR support, and IT coordination.

 

ESSENTIAL JOB RESPONSIBILITIES

Inside Sales & Customer Service Support

•     Serve as primary internal contact for customer inquiries, quote requests, order updates, and account management

•     Own sales growth initiatives and pipeline development across automotive, industrial, OEM, and defense markets

•     Prospect and develop new customers; manage opportunities from lead through close

•     Strengthen existing accounts through relationship growth and account planning

•     Coordinate customer communications on pricing, lead times, engineering clarifications, and order status

•     Support outside sales and leadership with business development initiatives and tradeshow participation


RFQ & Quoting Administration

•     Review customer RFQs, drawings, BOMs, and technical specifications

•     Coordinate with Engineering, Purchasing, and Operations to develop accurate quotations and lead times

•     Prepare and issue formal quotations for wire harnesses, cable assemblies, control panels, and electromechanical assemblies

•     Support margin-focused quoting and pricing negotiations in partnership with Ops and Finance

•     Track quote activity, revisions, approvals, and conversion rates; conduct follow-up on open quotes


Order Entry & Project Coordination

•     Convert approved quotations into sales orders within ERP/MRP systems

•     Coordinate new order releases and documentation with production planning and operations

•     Ensure customer requirements, revisions, and specifications are accurately communicated internally

•     Support change management for engineering revisions, customer updates, and schedule changes


Office Administration & HR

•     Manage day-to-day office operations

•     Assist with personnel matters, 401(k) administration, health insurance, payroll, and employee handbook updates, working with the President and our Payroll/Bookkeeping Provider

•     Maintain files for customer contracts, vendor agreements, lease agreements, NDAs, and related legal documents

•     Support marketing activities including brochures, presentations, website maintenance, and coordination with the outsourced marketing firm


Reporting, CRM & Strategic Support

•     Maintain CRM and customer records with accurate opportunity, quote, and account information

•     Prepare sales reports, KPI tracking, pipeline updates, and weekly flash reporting for corporate and board

•     Attend and assist with Board meetings, strategic planning sessions, and investor relations preparation


Qualifications

Required

•     Bachelor's degree in Business, Marketing, Communications, or related field (or equivalent experience)

•     3–5 years of combined experience in customer account management, inside sales, quoting, or sales administration within a manufacturing environment

•     Experience in office administration, HR support, or operations coordination

•     Proficiency with Microsoft Office (Excel, Word, Outlook) — 5 years preferred

•     Experience with ERP/MRP and CRM systems

•     Strong organizational skills, attention to detail, and ability to manage multiple priorities simultaneously

•     Excellent written and verbal communication and negotiation skills


Preferred

•     Experience in wire harness manufacturing, cable assemblies, control panels, or electromechanical contract manufacturing

•     Familiarity with reading BOMs, customer drawings, and technical specifications

•     Experience supporting OEM, industrial, automotive, aerospace, or defense customers

•     Experience with systems such as Odoo, Global Shop Solutions, Salesforce, or similar.
