Responsibilities:
- Oversee day-to-day HVAC service department operations, including scheduling, dispatching, and coordinating technicians
- Manage accounts payable, accounts receivable and billing processes
- Order parts for jobs, prepare quotes and unit replacement proposals
- Serve as a primary point of contact for customer service inquiries, complaints, and service agreements
- Maintain accurate records of service calls, work orders, and technician performance
- Process payroll, vendor payments, and reconcile accounts using Service Titan
- Support management with operational analysis, manage technicians
- Prior experience in HVAC, mechanical, or trades industry office management strongly preferred
- Proficiency in software (Service Titan or similar preferred)
- Strong understanding of accounts payable/receivable, invoicing, and job costing
- Excellent organizational and multitasking skills in a fast-paced office environment
- Strong communication skills for coordinating between field technicians, customers, and vendors
- Experience with service dispatch or scheduling software is a plus
- High level of accuracy, integrity, and attention to detail
