Front Desk Coordinator / Administrative Assistant (Bilingual – Spanish/English)

GM International Consultants LLC is seeking a bilingual Front Desk Coordinator / Administrative Assistant to support daily office operations and assist the Office Manager. This is a hands-on front desk and administrative support role in a professional office environment that handles client documentation, high-volume communication, and strict attention to detail.
What You’ll Do
- Greet clients and manage front desk operations in a professional office setting
- Answer and route phone calls; schedule and confirm client appointments
- Provide administrative support to the Office Manager, including internal communications and coordination with internal team members
- Handle client-facing communication, email correspondence, and document follow-ups
- Manage office supplies, mail, scanning, filing, and digital document organization
- Create invoices and assist with billing for multiple services
- Process payments, prepare deposits, and record ACH transactions in QuickBooks
- Support Accounts Receivable (AR) activities and payment follow-ups
- Maintain organized client files, databases, spreadsheets, and reports
- Assist with organizing internal events and administrative projects
- Perform accurate data entry and ensure document tracking and compliance
- Adapt quickly to changing priorities and office procedures
- Assist Office Manager
What We’re Looking For
- Bilingual: Spanish & English (required)
- 1 year of experience in an administrative, front desk, or office support role
- Experience in a legal office, immigration firm, or professional services environment is a strong plus
- Strong proficiency in Microsoft Office (Outlook, Excel, Word)
- Excellent organizational skills and attention to detail
- Professional written and verbal communication skills
- Ability to handle confidential information with discretion
- Comfortable working in a fast-paced, high-volume office environment
- Self-motivated, reliable, and open to learning and change
- Experience with Accounts Receivable
- Proven ability to multitask, prioritize tasks, and handle front desk duties alongside administrative support responsibilities.
- QuickBooks experience
Pay: $16.00 - $18.00 per hour
