Job Overview
We are seeking a proactive and detail-oriented Dental Office Patient Coordinator/Scheduler to join our dynamic dental team. In this vital role, you will serve as the primary liaison between patients and the dental practice by:
- Greeting patients with warmth and professionalism
- Handling phone calls/texts/emails and scheduling with confidence
- Ensureing all necessary information is up to date on each scheduled patient
- Confirming scheduled patients daily
- Supporting the team wherever needed to make the day flow
Responsibilities
- Greet daily scheduled patients upon arrival
- Ensure schedule meets daily production goals
- Track new patient calls and referral sources
- Prepare patient statistic/information in preparation to discuss in daily huddle
- Identify and work with clinical team for available emergency patient times
- Notify team of appointment status changes; arrivals, cancels or fails daily
- Work with payments systems program for credit card payments
- Collect and enter all patient information correctly into Dentrix Software
- Maintain electronic patient record including scanning prior to patient departure
- Verify and ensure collection of emails for marketing and patient communication
- Communicate daily with patients regarding appointments, schedule changes and follow up with missed or failed appointments
- Correctly check patients in upon arrival and inform clinical staff in a timely manner of their arrival
- Check out each patient upon completion of visit, collecting any necessary co-payments or account balances
- Ensure every patient is rescheduled for recall with the hygienist and treatment with the doctor
Skills
- Knowledge of Dentrix Software (preferred)
- Organized and Detail-Oriented
- Strong inter-personal skills
- Confident in financial communication
- Knowledge of basic dental insurance policies
- Dental background with scheduling (required)
- Understanding of HIPAA compliance standards to protect patient privacy and confidentiality
- Ability to always maintain professional demeanor, even under stress (required)
- Effective communication skills for liaising with patients and team members
- Team player with strong independent skills
- Maintains confidentiality and professionalism at all times
- Professional appearance, reliability and a positive attitude
- Ability to speak, understand and write fluent English
