Responsibilities
- Greet visitors, clients, and vendors warmly, providing exceptional customer service and maintaining a professional front desk presence
- Answer multi-line phone systems promptly, using proper phone etiquette to direct calls efficiently
- Manage office operations including filing, data entry, scheduling appointments, and maintaining organized records
- Oversee social media platforms by creating engaging content, responding to comments, messages, and fostering community interaction
- Coordinate with team members to support administrative tasks such as proofreading documents and managing correspondence
- Maintain a clean and organized reception area while ensuring all office supplies are stocked and properly stored
- Support client communication efforts through personalized outreach and timely follow-up
Qualifications
- Bilingual skills are highly preferred to effectively communicate with diverse clients and visitors
- Proven office management experience with familiarity in Microsoft Office Suite (Word, Excel, PowerPoint) and general computer skills
- Proven familiarity in content edditing tools (Canva, Capcut, Instagram) and general content creation skills
- Strong clerical experience including typing, proofreading, filing, and document management
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Prior experience in customer service or front desk roles demonstrating professionalism and positive attitude
- Knowledge of multi-line phone systems, phone reception protocols, and phone etiquette is essential
- Demonstrated ability to handle administrative tasks such as time management, client communication, and personal assistance functions
- Computer literacy including proficiency in word processing software and basic social media tools
- Key Performance Indicators (KPIs)
- Success in this role will be measured by:
- Call Activity: Consistently making 30–50 quality outbound calls per day.
This position includes a 4-week probationary period. During this time, performance will be closely monitored based on KPIs, adaptability, and overall contribution to clinic operations. Continued employment beyond this period is contingent upon meeting or exceeding expectations.
