Dental Receptionist

Location: Freeport, NY
Job Type: Full-Time
Reports To: Practice Owner / Office Manager

About Glow Dental: Glow Dental is a modern, growing multi-specialty dental practice in Freeport, NY committed to delivering exceptional patient care and an outstanding patient experience. We are seeking an experienced Dental Receptionist who can confidently manage front-desk operations, dental insurance processes, and patient communication in a fast-paced environment.

Practice Clinical Schedule & Availability

Our practice is open for patient care during the following days and hours:

  • Mondays & Fridays: 8:30 AM – 6:30 PM (Pediatric Dentistry days)
  • Wednesdays & Thursdays: 8:30 AM – 6:30 PM (General Dentistry)
  • Saturdays: 8:30 AM – 3:00 PM

We are looking for a team member who is available to work all of these clinical days on a regular, ongoing basis. Additional hours and opportunities may become available as the practice continues to grow.

Position Summary: The Dental Receptionist serves as the first point of contact for patients and plays a critical role in the daily success of the practice. The ideal candidate will have previous dental front desk experience, a strong understanding of dental insurance, familiarity with dental terminology, and the ability to accurately calculate patient copays, deductibles, and estimated treatment costs.

Responsibilities:

  • Greet and check patients in and out while providing exceptional customer service.
  • Answer incoming phone calls and respond to patient inquiries professionally and efficiently.
  • Schedule, reschedule, and confirm patient appointments while maximizing schedule productivity.
  • Verify dental insurance benefits and eligibility prior to appointments.
  • Accurately calculate and collect copays, deductibles, coinsurance, and patient balances.
  • Present treatment estimates and explain patient financial responsibilities.
  • Maintain accurate patient demographic, insurance, and account information.
  • Process payments and maintain accurate financial records.
  • Perform appointment reminder, confirmation, and follow-up calls.
  • Coordinate with providers and clinical staff regarding patient flow and scheduling needs.
  • Manage patient concerns with professionalism, empathy, and problem-solving skills.
  • Maintain HIPAA compliance and patient confidentiality.
  • Support administrative and operational needs as required in a growing practice.

Required Qualifications:

  • Dental receptionist, dental front desk, or dental administrative EXPERIENCE REQUIRED.
  • Strong knowledge of dental terminology, common dental procedures, and treatment planning.
  • Experience verifying dental insurance benefits and explaining coverage to patients.
  • Ability to accurately calculate patient copays, deductibles, annual maximums, and treatment estimates.
  • Experience collecting payments and discussing financial arrangements with patients.
  • Strong computer skills and ability to learn new software quickly.
  • Excellent communication, customer service, and organizational skills.
  • Ability to multitask and remain detail-oriented in a fast-paced environment.
  • High school diploma or equivalent.

Preferred Qualifications:

  • Experience with Open Dental software.
  • Familiarity with PPO dental insurance plans and claims processes.
  • Bilingual (Spanish preferred).
  • Experience in a general dentistry, pediatric dentistry, orthodontic, or multi-specialty dental practice.
