ADMINISTRATIVE SECRETARY – ACCOUNTS PAYABLE

QUALIFICATIONS:

  • High School Diploma
  • Ability to function successfully in an administrative office.
  • Excellent secretarial skills including proficiency in computer literacy and record keeping along with strong analytical, communications, and organizational skills.
  • General understanding of the district’s administration, organization, rules, regulations, and practices.

REPORTS TO:
Administrator in charge of office

JOB GOAL:
To perform secretarial tasks for the administrator.

PERFORMANCE RESPONSIBILITIES:

  • Types correspondence, reports, notices and other material as required.
  • Obtains, gathers and organizes pertinent data as needed and puts it into usable form.
  • Maintains a regular filing system, as well as a set of locked confidential files, and processes incoming correspondence as instructed.
  • Places and receives telephone calls and records messages.
  • Orders and maintains supplies as needed.
  • Performs any record keeping tasks associated with the specific position.
  • Maintains a schedule of appointments and makes arrangements for conferences and interviews.
  • Receives and compiles vendor invoices for payment.
  • Reviews purchase order and compares to invoices for any discrepancies.
  • Discuss discrepancies with the Purchasing Department when necessary.
  • Maintains timelines for Board of Education vendor bills list at monthly meetings.
  • Completes check disbursement as approved by the Board of Education.
  • Performs other tasks as may from time to time be assigned by the administrator.

SALARY:

$40,000

BENEFITS:

Full Time Staff are eligible for Medical, Prescription, Dental and Vision Benefits. Sick, Personal and Bereavement Days are included.


TERMS OF EMPLOYMENT:
12 Months

VACATION:
As per current district vacation policy.

EVALUATION:

Performance of this job will be evaluated annually in accordance with provisions of the Board’s policy of Evaluation of Personnel.

Salary : $40,000
