LOCATION: New York, NY (In Office Monday-Friday)
COMPENSATION: $120-140K DOE discretionary bonus excellent benefits
HOURS: 8:30am – 5:30pm (with flexibility as needed)

The Administrative Assistant provides high-level administrative and operational support to a team of seven finance professionals in a fast-paced, deadline-driven environment. This role serves as a central point of coordination for scheduling, documentation, client deliverables, and internal communications while maintaining strict confidentiality and adherence to financial industry standards. The ideal candidate is detail-oriented, organized, and comfortable handling sensitive information and time-critical requests.
Responsibilities of the Administrative Assistant:
-Provide day-to-day administrative support to a group of 7 investment/finance professionals
-Manage complex calendars, coordinate internal and external meetings, and resolve scheduling conflicts
-Arrange domestic and international travel, including flights, accommodations, ground transportation, and itineraries
-Prepare meeting materials, presentations, and reports for client and internal use
-Track deadlines, follow up on action items, and ensure timely completion of deliverables
-Screen phone calls and correspondence; serve as a professional point of contact for clients and internal departments
-Prepare, proofread, format, and distribute financial documents, correspondence, and client communications
-Redline agreements, engagement letters, investment documents, and internal drafts for review and execution
-Notarize documents as a commissioned Notary Public when required for client transactions and regulatory documentation
-Process and reconcile expense reports in accordance with firm policy
-Support special projects, audits, and regulatory or compliance requests
-Liaise with legal, compliance, operations, and accounting teams to facilitate transaction workflows
Requirements of the Administrative Assistant:
-3-5 years of administrative experience, preferably in financial services, banking, legal, or professional services
-Experience supporting multiple professionals simultaneously
-Active Notary Public commission (or willingness to obtain shortly after hire)
-Strong proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
-Experience redlining documents in Microsoft Word
-Excellent written and verbal communication skills
-Exceptional organizational skills and attention to detail
-Ability to prioritize competing deadlines and work independently
Salary : $120,000 - $140,000
