What are the responsibilities and job description for the Executive Assistant position at Global IT Resources?
Duration: Initial 3-month contract with possible extensions and conversion
Shift: Monday – Friday | 8:00 AM – 5:00 PM
Responsibilities
Calendar & Scheduling
- Maintain executive’s calendar, schedule meetings/appointments, and establish appointment priorities.
- Reschedule or refuse invitations as needed; identify conflicts or critical dates.
- Prioritize workload effectively.
Meetings & Coordination
- Plan, coordinate, and participate in administrative and board-level meetings.
- Follow Hospital Bylaws, JCAHO Administrative and Board standards, and other regulatory guidelines.
- Schedule rooms, order catering, prepare agendas, mail materials, take/transcribe minutes, coordinate follow-up, and work directly with Committee Chairs.
Reception & Communication
- Provide professional and courteous reception and telephone service.
- Assess urgency of inquiries, resolve conflicts independently when possible, and refer as appropriate.
Correspondence & Documentation
- Review incoming correspondence, determine deadlines, check accuracy of documents requiring signature, and summarize content for review.
- Compose correspondence and prepare special projects or presentations.
- Maintain organized paper and electronic filing systems.
Travel & Scheduling
- Arrange complex travel plans for executives or groups, including transportation, lodging, conference logistics, and catering.
Executive Support
- Respond to information/action requests in executive’s absence; ensure timely follow-up and escalate urgent matters appropriately.
Leadership & Training
- Assist and train peers/subordinates on equipment, policies, and procedures.
- Supervise clerical staff as needed.
Competency & Compliance
- Adhere to confidentiality standards, compliance regulations, and population-specific care requirements.
- Perform all duties with professionalism and accuracy.
- Must have excellent communication and organizational skills.

Job Requirements
Education / Skills
- High School Diploma required.
Experience
- Minimum 3 years of experience in office and calendar management required.
- Experience working in supported functions’ environments preferred.
Licenses / Certifications
- Certified Administrative Professional (CAP) preferred.
- Professional Administrative Certification of Excellence (PACE) preferred.
Job Types: Full-time, Contract
Pay: $24.50 - $26.00 per hour
Expected hours: 40 per week
