Position Summary
The Client Relationship & Operations Coordinator serves as the central hub of our client experience and internal workflow. This role supports advisors, keeps clients moving smoothly through our planning process, and ensures operational excellence across the firm.

What You’ll Do
Client Experience
- Serve as primary point of contact for scheduling and client service needs
- Coordinate and prepare materials for client meetings
- Guide clients in uploading documents into the RightCapital secure vault
- Maintain warm, professional communication with clients and prospects
- Support new client onboarding and follow-through
- Advisor & Meeting Support
- Prepare meeting agendas and follow-up summaries
- Track client action items and implementation steps
- Maintain accurate CRM records and workflows
- Monitor annual review schedules and service calendars
Operations & Workflow
- Maintain and improve internal checklists and processes
- Coordinate with custodians and insurance partners
- Help track pipeline activity and key metrics
- Assist with client events and marketing logistics
- Identify opportunities to improve efficiency
- What Success Looks Like
- Clients move smoothly through our planning process
- Service requests handled within 48 hours
- CRM and workflows remain highly accurate
- Advisors gain capacity to focus on planning and relationships
- Clients consistently experience high-touch service
Qualifications
Required
- Strong organizational and multitasking skills
- Excellent written and verbal communication
- High attention to detail
- Professional and client-first demeanor
- Ability to manage multiple priorities
Preferred (not required)
- 2 years in financial services, banking, insurance, or professional office
- Experience with CRM systems (Redtail, Wealthbox, etc.)
- Familiarity with financial planning workflows
- Experience with RightCapital or similar software
