Project Coordinator
Glacier Millworks | Kalispell, Montana
Glacier Millworks is looking for a highly organized, detail-oriented Project Coordinator to help keep our custom projects accurate, organized, and moving smoothly from customer approval through production and final delivery.
This is a key support role within our operations team. The Project Coordinator works closely with Project Management, Estimating, Procurement, Production, Sales, and Delivery to make sure each project has the correct information, documentation, materials, and schedule needed to move successfully through production.
This position also provides administrative support to the organization and is ideal for someone who is excellent with Excel, data entry, documentation, organization, communication, and follow-through.
Because we manufacture highly customized architectural wood products, details matter. We are looking for someone who enjoys keeping things organized, catching discrepancies, solving missing-information issues, and making sure nothing falls through the cracks.
What You'll Do
Project Coordination & Data Entry
- Enter and maintain accurate project information in Excel, Odoo, Kanbanchi, Google Sheets, and other internal systems
- Create and maintain detailed production Job Sheets
- Verify quantities, products, colors, profiles, delivery information, and special project requirements
- Review project information for missing, conflicting, or inaccurate details before jobs reach production
- Maintain organized electronic and physical project files
- Update project information as quantities, schedules, or customer requirements change
- Coordinate with Procurement regarding material requirements and ordering timelines
Production Coordination
- Prepare complete production packets and supporting documentation
- Confirm approved samples, project scope, lead times, and special requirements
- Help maintain and update the rolling production schedule
- Participate in weekly production meetings
- Track projects as they move through production
- Communicate schedule and project changes between departments
- Ensure Production has complete and accurate information before work begins
- Coordinate with customers and builders when needed regarding schedules, deadlines, and delivery requirements
Administrative Support
- Provide administrative support to Project Management, Production, Estimating, and other team members
- Assist with scanning, filing, recordkeeping, documentation, and basic Accounts Receivable support
- Assist with professional customer communication and correspondence
- Help maintain departmental processes, procedures, and workflows
- Keep records and project documentation accurate, current, and organized
Project Closeout
- Confirm completed projects have all required production and delivery documentation
- Organize and close completed project files
- Coordinate the removal or archiving of project samples according to company procedures
- Update internal systems to reflect project completion
What We're Looking For
We are looking for someone who is extremely organized, accurate, proactive, and dependable.
You should be comfortable working with numbers, spreadsheets, detailed documentation, computer systems, and multiple projects at the same time.
Qualifications include:
- Strong Microsoft Excel skills
- Strong computer and data-entry skills
- Excellent attention to detail and accuracy
- Strong organizational and time-management skills
- Ability to manage multiple projects and deadlines
- Clear and professional written and verbal communication
- Ability to identify missing or conflicting information and follow through until it is resolved
- Comfortable learning and working in multiple software systems
- Ability to work effectively with customers, builders, vendors, and internal team members
- Experience with Microsoft Office, ERP systems, project-management software, or production software preferred
- Experience in construction, manufacturing, millwork, building materials, project coordination, or administrative operations is helpful but not required
