POSITION OVERVIEW:
The Project Accounting/Billing Analyst will be responsible for managing the end-to-end billing process for our custom projects, particularly trade shows and event services that are billed on actuals after the event is complete. This role requires someone who thrive in the details of a project, can dig into complex job costs, reconcile time and materials, and work closely with project managers, estimators, and the finance team to ensure accurate, timely invoicing and revenue capture.
KEY RESPONSIBILITIES:
Project Accounting
- Analyze job cost data and compare against estimates and scope.
- Reconcile purchase orders, subcontractor invoices, labor hours, and material usage.
- Investigate variances, missing costs, and billing discrepancies mindset.
- Audit projects post-delivery to ensure all billable items are captured.
Billing & Invoicing
- Prepare and issue client invoices based on actuals (labor, materials, rentals, freight, etc.).
- Collaborate with project teams to gather required documentation and approvals.
- Ensure billing aligns with contract terms, change orders, and client expectations.
Cross-functional Collaboration
- Partner with Project Managers, Estimators, and Production teams to understand job scope and cost drivers.
- Liaise with Accounting to support month-end close and revenue recognition.
- Maintain clear documentation of billing decisions and backup materials.
Continuous Improvement
- Recommend process improvements to reduce billing errors and improve accuracy and turnaround time.
- Support the implementation of job costing or ERP tools if applicable.
QUALIFICATIONS:
- 3 years of experience in billing, project accounting, preferably in fabrication, events, construction, or a related industry.
- Experience billing on actuals and managing complex, multi-element invoices.
- Strong Excel skills; ability to work with job cost reports, pivot tables, and VLOOKUPs.
- Familiarity with accounting software and job costing systems
- Detail-oriented with excellent organizational and communication skills.
- Ability to work independently and manage multiple deadlines.
- Experience in a deadline-driven, service-based environment is a plus.
