New Patient Scheduler
TITLE: New Patient Scheduler
DEPARTMENT: Administration
REPORTS TO: Office Administrator
FLSA: Non-exempt
Position Summary: The New Patient Scheduler is responsible for scheduling new patient appointments,
obtaining patient demographics and insurance information. Inputs information into system, and verifies
insurance coverage
Essential Duties And Responsibilities
The essential functions include, but are not limited to the following:
▪ Schedules all new patient appointments for all doctors.
▪ Obtains all new patient demographic and insurance information and inputs into computer system.
▪ Obtains authorization or referral, per insurance requirements by phone call to insurance company or by
contacting primary care physician. Once obtained, it is scanned into patients EMR.
▪ Requests pertinent medical records from referring physicians and all records pertaining to diagnosis.
▪ Mails new patient forms or informs patient how to complete forms via website.
▪ Follows and schedules hospital follow up. Must check with individual physicians on which patients require
a hospital follow up appointment.
▪ Contacts hospital follow up patient and schedules appointment, obtains hospital records.
▪ Verifies insurance eligibility for all follow up patients. Updates any change in patient insurance information
and immediately notifies Billing of changes.
▪ Assists with phone coverage.
▪ Assists with cross coverage for other front office staff.
▪ Assist with training and supporting new staff
▪ Other duties as requested or assigned by management.
Qualification/Requirement
▪ Ability to apply a common sense understanding to carry out detailed but uninvolved written or oral
instructions.
▪ Ability to deal with problems involving occasional, last-minute changes in generally standardized situations.
Education/Training/Experience
▪ High school diploma or a GED
▪ Six months related experience and / or training
▪ Knowledge of EMR, medical terminology, ICD-10 and CPT codes a plus.

- Experience working in a medical office
- Ability to multi-task and work in fast-paced environment.
- Detail-oriented
- Basic understanding of healthcare plans
- Be able to read and understand medical benefits.
- Bilingual is a plus.
