Responsibilities

  • Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems to handle incoming calls efficiently and route messages accurately
  • Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office tools
  • Perform data entry, proofread documents, and manage correspondence to ensure accuracy and clarity
  • Schedule appointments, coordinate calendar management, and organize meetings for staff or executives
  • Support office management tasks such as supply inventory, bookkeeping using QuickBooks, and general administrative duties
  • Provide customer support by responding promptly to inquiries and assisting clients or patients as needed
  • Handle clerical tasks including typing, photocopying, faxing, and maintaining detailed records

Requirements

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Excellent computer literacy with the ability to learn new software quickly
  • Bilingual abilities are highly desirable to assist diverse clientele effectively
  • Experience with office management systems such as multi-line phone setups and calendar software
  • Strong customer service skills with professional phone etiquette and a friendly demeanor
  • Previous clerical or administrative experience in a medical or dental receptionist role is a plus
  • Ability to handle sensitive information discreetly while maintaining confidentiality
  • Demonstrated time management skills with the ability to prioritize tasks efficiently
