Accounting Lead

Job Overview
GeoSoils, Inc. (GSI), is a geotechnical, coastal, and environmental engineering firm founded in 1974, is seeking a Billing Assistant to join our team. The ideal candidate will assist in various billing tasks, such as data entry, updating details, preparing, reviewing and verifying invoices.

Responsibilities

• Perform various billing tasks, such as data entry, updating details, preparing, reviewing and verifying invoices
• Prepare, review, and process client invoices for engineering services into accounting systems 
• Accurately enter and maintain accounts receivable (AR) records
•  
• Distribute billing statements to clients in a timely and professional manner
• Track outstanding invoices and proactively follow up on collections
• Coordinate with internal teams to ensure billing accuracy and completeness
• Hands-on experience with MS Office software and accounting software (BQE Core and Quick Books)
• Create weekly monthly billing reports including amount invoiced and aging summaries 
• Maintain organized financial records and documentation
• Contacting vendors for information and for data verification
• May provide clerical, administrative and operational support by performing other functions, including but not limited to accounting, operations, receptionist duties or other duties as assigned or apparent

Qualifications

• Postsecondary education (such as college or professional certifications)
• 4 years' related experience in an office environment that includes accounting, billing and invoicing
• Strong attention to detail and accuracy in data entry and billing
• Proficiency in using Microsoft Office Suite (word & Excel) and accounting software (BQE Core and Quick Books)
• Understanding numerical values and units
• Possess excellent organizational skills, manage multiple tasks, maintain attention to detail and meet deadlines
• Must be able to multitask and work in a fast-paced environment
• Ability to demonstrate a high degree of accuracy and attention to detail
• Proficiency in translating data from one’s vendor’s data to our data

Preferred Experience

• Background in engineering, construction, or consulting environments

• Familiarity with project-based billing and contract terms
