Duties
- Greet visitors at the front desk with professionalism and warmth, providing excellent customer service
- Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
- Maintain organized filing systems, both physical and digital, including data entry and document management
- Schedule appointments, meetings, and calendar management for team members using tools like Google Workspace or Microsoft Office
- Perform clerical tasks such as proofreading documents, preparing correspondence, and managing office supplies inventory
- Handle bookkeeping responsibilities including basic QuickBooks data entry and tracking expenses
- Support office management activities by coordinating vendor communications, maintaining office equipment, and overseeing general administrative functions
- Assist with personal assistant duties when needed, including travel arrangements or special project support
- Provide support in medical or dental receptionist duties if applicable, including patient check-in/out procedures and appointment scheduling
- Ensure efficient operations at the front desk by managing office flow, answering questions, and providing exceptional customer support
Qualifications
- Proven experience in an administrative or clerical role with strong office management skills
- Excellent computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools
- Familiarity with QuickBooks for bookkeeping tasks is preferred
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Exceptional phone etiquette skills with experience managing multi-line phone systems
- Bilingual abilities are a plus to serve diverse client needs effectively
- Previous experience as a receptionist in medical or dental offices is advantageous
- Demonstrated attention to detail through proofreading and document accuracy
- Ability to prioritize tasks efficiently using good time management practices
- Experience with calendar management and scheduling software is highly desirable
- Personal assistant experience or background supporting executives is beneficial
