Job Description
We are seeking a highly motivated Administrative Assistant for our public accounting office located in Sugar Land, TX. This position has set working hours from Monday – Friday. The ideal candidate is driven, resourceful and comfortable juggling multiple tasks with confidence and professionalism.
What You'll Do
- Answer, screen and direct phone calls to the appropriate team members using the central telephone system.
- Schedule client appointments for managers and accountants when needed
- Welcome office visitors by greeting them, in person or on the telephone, answering or referring inquiries.
- Filing, emailing, scanning, & faxing of documents for clients and employees
- Process tax returns, compilations, financial statements, TX Franchise, & payroll returns by scanning and preparing for shipping (will train)
- Assist with social media and website marketing as well as other marketing activities.
- Record & take deposits to bank (mostly checks) daily.
- Enter client charges, assist with client billing twice monthly; mail out client invoices & client documentation.
- Assist the Senior Administrative Assistant or Office Manager if one of them is out on vacation, sick or out on appointments.
- Restock office supplies & clean the kitchen on a daily basis.
- Assist with collecting and processing payments from our clients.
What You Bring
- High School Diploma/GED Equivalent
- Associates or Bachelors degree preferred
- 2-4 years experience in a clerical/administrative position
- 2-4 years experience with Microsoft Office Software
- Excellent written & verbal communication skills; strong customer service skills & excellent phone etiquette
- Strong attention to detail
- Strong & positive work ethic; team and service oriented; build strong work & client relationships
