The incumbent serves as a Lead Medical Support Assistant in the Health Administration Service (HAS). The LMSA provides specialized and expert administrative patient support while working collaboratively in an interdisciplinary coordinated care delivery model. Work involves specialized administrative judgment and the flexible use of a wide range of clinical flow processes relating to access to care across multiple clinics, specialties, and/or care in the community resources.

Basic Requirements:

  • *Education. High school diploma, General Education Development equivalency certificate, or proficiency certificate from a State or territorial-level Board or Department of Education.

  • English Language Proficiency. Candidates must be proficient in spoken and written English in accordance with 38 U.S.C. § 7403(f).
May qualify based on being covered by the Grandfathering Provision as described in the VA Qualification Standard for this occupation (only applicable to current VHA employees who are in this occupation and meet the criteria).

Grade Determinations: Lead Medical Support Assistant, GS-7
Experience. One year of experience equivalent to the GS-6 grade level.

Preferred Experience:
  • 1 year of administrative/office experience utilizing computerized program/databases that indicates the ability to acquire the knowledge and skills needed to perform the duties of the position.
  • Advanced knowledge of medical terminology.
  • Ability to operate computerized programs and systems to enter, modify, and retrieve sensitive medical and patient identifying information (PII) into or from electronic [health] records, scheduling systems, and/or reports.
  • Ability to schedule medical appointments in a clinical setting.
  • Advanced knowledge of health care processes as it relates to access to care.

The Lead Medical Support Assistant recommends changes to existing clinic procedures based on current administrative guidelines. Expertise in utilizing numerous advanced patient systems in support of multiple clinics involved in an interdisciplinary coordinated care delivery model. Coordinates with the patient care team to review clinic appointment availability (utilization) to ensure that clinic schedules are closely monitored to effectively support the needs of the clinics and adjusts as necessary.

The Lead Medical Support Assistant will provide orientation to the professional staff on administrative procedures and logistical factors associated with health care delivery. Incumbent works collaboratively giving advisory and technical assistance to all applicable Medical Support Assistant staff, Veterans and their family members, beneficiaries and other administrative and professional staff throughout the facility pertaining to HAS activities.

The Lead Medical Support Assistant is responsible for the coordination of Advanced MSA assignments and workflow found in an interdisciplinary unit. The Lead Medical Support Assistant is responsible for daily workload assessments, assigning work, and assuring proper staffing coverage; evaluating training records, and determining training needs of Medical Support Assistants to provide support across interdisciplinary settings.

The Lead Medical Support Assistant assists the unit with complex and non-standard procedures, including clinical flow processes related to access to care across multiple clinics, specialties, and/or community resources

Work Schedule: Monday Friday 8:00am to 4:30pm

Pay: Competitive salary and regular salary increases.
Paid Time Off: 37-50 days of annual paid time offer per year (13-26 days of annual leave, 13 days of sick leave, 11 paid Federal holidays per year)
Selected applicants may qualify for credit toward annual leave accrual, based on prior [work experience] or military service experience.
Parental Leave: After 12 months of employment, up to 12 weeks of paid parental leave in connection with the birth, adoption, or foster care placement of a child.
Child Care Subsidy: After 60 days of employment, full time employees with a total family income below $144,000 may be eligible for a childcare subsidy up to 25% of total eligible childcare costs for eligible children up to the monthly maximum of $416.66.
Retirement: Traditional federal pension (5 years vesting) and federal 401K with up to 5% in contributions by VA
Insurance: Federal health/vision/dental/term life/long-term care (many federal insurance programs can be carried into retirement)
