Responsibilities
- Greet visitors warmly, direct them appropriately, and manage front desk operations with professionalism and enthusiasm
- Handle multi-line phone systems with excellent phone etiquette, screening calls and directing inquiries efficiently
- Manage appointment scheduling, calendar coordination, and meeting arrangements using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and document proofreading to ensure accuracy and organization across all administrative records
- Assist with office management tasks such as supply inventory, mail distribution, and maintaining a clean, organized workspace
- Support customer service efforts by providing prompt assistance and support to clients or patients in person or over the phone
- Utilize computer skills to update databases and support clerical functions as needed
Experience
- Previous office experience or administrative support experience is preferred but not required; training will be provided for the right candidate
- Strong organizational skills with the ability to multitask effectively in a busy environment
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic computer literacy
- Excellent communication skills with a professional phone manner; bilingual abilities are a plus but not mandatory
- Experience with front desk operations, data entry, filing systems, and customer support roles is desirable
- Ability to handle clerical tasks such as proofreading documents, managing time efficiently, and maintaining accurate records
