Position Overview
GeoProducts is seeking an organized, proactive Bid Desk & Purchasing Coordinator to find project opportunities, track upcoming bids, coordinate vendor pricing, support purchasing, and help manage the flow of materials from quote to delivery. This person feeds the top of our pipeline and helps make sure we buy the right materials at the right price and time.
You will monitor federal, state, and local procurement portals, DOT lettings, civil plan rooms, commercial project databases, and customer bid invites to surface the opportunities where GeoProducts can supply materials — then coordinate the vendor pricing and purchasing behind them.
This is not a passive administrative role. This person helps create the opportunity pipeline.
This role can be fully remote, hybrid, or based out of our Kilmarnock, VA office — we care more about finding the right person than where they sit.
This role is also a natural launch point: as GeoProducts grows, the right person will have room to take on broader purchasing, estimating, and sales-support responsibilities over time.
Responsibilities
As the Bid Desk & Purchasing Coordinator, you will:
• Monitor public-sector sources for relevant opportunities — federal contract opportunities on SAM.gov, Virginia’s eVA portal, VDOT and other state DOT lettings (via BidX / Bid Express), QuestCDN and other civil plan rooms, and municipal procurement portals such as DemandStar, BidNet, PlanetBids, and Bonfire.
• Monitor commercial and private sources — project databases such as Dodge, ConstructConnect, BuildingConnected, PlanHub, and The Blue Book, plus GC bid invites and direct customer bid notices.
• Track bid dates, letting dates, addenda, planholder lists, awarded projects, and which contractors are bidding.
• Review plans, specs, and bid documents to spot where GeoProducts can supply materials, and flag those opportunities to leadership and the sales team.
• Own the bid calendar and opportunity tracker — what is coming up, what is due, what has been quoted, and what has been awarded.
• Coordinate with vendors on pricing, availability, lead times, freight, submittals, and product recommendations.
• Create and manage purchase orders, confirm vendor pricing, and track inbound materials so product arrives when it is needed.
• Compare vendor pricing, lead times, freight, and product options to protect margin and buy smart.
• Maintain vendor price lists, submittals, and purchasing records.
• Support inventory and delivery planning with operations.
• Help leadership with bid tracking, vendor comparisons, purchasing analysis, and pipeline reporting.
• Build a smoother, more scalable process for finding, tracking, buying, and following up on opportunities.
Qualifications
Preferred qualifications include:
• 2 years in bid coordination, purchasing, procurement, construction administration, or project / estimating support.
• Experience in construction supply, civil infrastructure, waterworks, stormwater, erosion control, geosynthetics, industrial distribution, building materials, or sitework is strongly preferred.
• Familiarity with construction bid and procurement platforms — such as SAM.gov, eVA, VDOT / BidX, QuestCDN, Dodge, ConstructConnect, BuildingConnected, PlanHub, The Blue Book, DemandStar, BidNet, PlanetBids, or Bonfire — is a major plus.
• Experience with vendors, purchase orders, pricing requests, lead times, freight quotes, and procurement workflows.
• Able to read plans, specs, addenda, bid tabs, and planholder lists.
• Strong computer skills: Excel, Outlook, PDFs, bid platforms, CRM tools, and internal order systems.
• Highly organized — able to manage many bid dates, vendor requests, and purchase orders at once.
• Strong attention to detail, especially around dates, quantities, pricing, lead times, and order accuracy.
• Comfortable communicating with vendors, contractors, estimators, salespeople, and internal operations teams.
• Self-motivated, reliable, and deadline-driven in a fast-paced environment.

This is a base salary plus performance bonus role, with compensation based on experience, bid-tracking ability, purchasing experience, organizational skills, and overall fit.
