Responsibilities
- Manage front desk duties, greeting visitors and directing them appropriately with professionalism and warmth
- Operate multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
- Maintain accurate data entry and filing systems, including digital records using Google Workspace and Microsoft Office tools
- Assist with calendar management and scheduling appointments for team members or executives
- Support office management tasks such as supply ordering, inventory tracking, and maintaining cleanliness of common areas
- Perform clerical duties including proofreading documents, preparing reports, and managing correspondence
- Handle customer support interactions with professionalism, ensuring positive experiences for clients and visitors
- Conduct basic bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping
- Support medical or dental receptionist duties when needed, including patient check-in and appointment coordination
- Provide personal assistant support as required, including task prioritization and time management
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Excellent organizational skills with keen attention to detail in filing, proofreading, and data entry tasks
- Experience with office management systems and clerical procedures in fast-paced environments
- Exceptional customer service skills paired with professional phone etiquette across multi-line phone systems
- Bilingual abilities are highly valued to serve diverse client needs effectively
- Prior office experience or administrative experience that demonstrates reliability and multitasking capabilities
- Knowledge of QuickBooks or bookkeeping experience to assist with financial recordkeeping tasks
