Full job description
Generations Law Group of Texas is currently seeking a full-time Client Intake Specialist to join our firm. This individual will be responsible for mastering a high intensity, fast paced, constantly changing calendar at all times. Must be able to triage cases by type and urgency. Ability to discern crisis cases and urgent needs, while providing peace of mind to those who call.
Processing a high volume of files from intake to engaged and follow up of those undecided. Including requesting information prior to appointment, processing that information into digital and physical files in preparation of consult with attorney.
Key Responsibilities:
- Serve as the first point of contact for clients via phone, email, and in-person inquiries, demonstrating professional phone etiquette and organizational skills
- Conduct initial client interviews to gather pertinent case information and assist with document collection
- Mastering the triage and constant changes in the calendar of 2-3 attorneys and 2-3 notaries.
- Client intake interview and calendaring of appointments with appropriate attorney based type of case and level of complexity
- Entering information of all leads into MyCase and tracking all initial calls in excel “dashboard”
- Review, analyze and process client intake forms, documents received prior to appointment and after for Estate Planning, Medicaid, Veterans and Probate cases.
- Creating asset and income spreadsheets and detailed information charts (knowledge or ability to learn various types of income and financial accounts)
- Direct the intake process by creation of digital file in Sharepoint, Client management in MyCase, data input into excel,
- Follow up with potential clients who were undetermined and process clients who did not engage.
- Support and work closely with law firm leader who ensures processing of all engaged clients and focuses on client satisfaction and case efficiency.
- Daily, weekly and monthly tracking of all leads, clients and cases
- Manage workshop registrations, attendees, follow-ups and satisfaction
- Conduct conflicts searches in firm database and reporting results,
Job Requirements:
- Bachelor’s Degree preferred, or equivalent combination of education and relevant experience.
- Three years of experience in fast paced calendar management and intake information processing preferred
- Ability to formulate searches so as to obtain relevant results from electronic database such as files, emails, calendaring and phone logs
- Ability to synthesize complex or diverse information, to collect and research data and to use intuition and experience to analyze data.
- Ability to provide customer service is essential to this position. Must be able to respond promptly and professionally to requests for information and assistance from all levels of employees, and clients occasionally in difficult or emotional situations.
- Ability to communicate clearly with all levels of professionals, including attorneys and non-attorney business professionals.
- Ability to write clearly and informatively (mainly in intake summaries and emails to team and clients).
- Detail oriented with strong data entry skills.
- Ability to read and comprehend written information, including simple instructions, short correspondence, and memos.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form and to deal with problems involving several concrete variables in standardized situations.
- HIGHLY Proficient with Microsoft Office products such as Word, Outlook and also having database experience.
- Ability to deliver exceptional client service, demonstrate flexibility, adapt to changes, and to work in a team-oriented environment
- Experience with MyCase a plus
- Extreme proficiency with google calendar (merging with mycase a plus)

Pay: $18.00 - $25.00 per hour
Expected hours: 40 per week
