What are the responsibilities and job description for the Administrative Assistant position at GENERATIONS HEALTH ASSOCIATION INC?
Responsibilities:
- To be completely knowledgeable of facility policies, procedures, job descriptions, bylaws, staff, residents, and activities of the facility.
- The person holding this position is delegated the responsibility for carrying out the assigned duties and responsibilities in accordance with current existing federal and state regulations and established company policies and procedures.
Other:
- Must be able to lead, follow commands, accept responsibility, work with people and handle emergencies.
Functions:
- Represent the facility to the community, residents and families
- Listen to and properly react to grievances and concerns
- Inform the administrator of activities that take place in their absence and the actions taken.
- Complete regular quality inspections for human resources, staffing, and resident and staff satisfaction
- Maintain good communications, rapport, and relationships with departments.
- Order supplies and equipment as authorized.
- Complete reports as required.
- Actively participate in QAPI
Physical Demands:
- Sits and walks intermittently throughout the working day. Makes rounds of the facility to maintain familiarity with working of various departments. Handles office equipment and supplies.
Special Demands:
- Willingness to accept responsibility for activities of the facility. Ability to work with employees, residents and families. Sociability, courtesy, empathy, and compassion. Memory for details. Considerable initiative and judgement involved in assisting in formulating policies and regulations, delegating responsibility, promoting favorable public relations, planning and analyzing the facility activities and selecting personnel.
Work Area and Environment:
- Administrative and department offices, resident rooms and areas, the entire building and grounds, the community, agency offices, other health providers, educational institutions, and travel to meetings and seminars.
Qualifications:
- License: Preferred
- Continuing Education: Attend staff meetings, in-service training programs, and orientation programs within the facility.
- Education: Minimum High School Diploma, College preferred.
- Experience: At least one year preferred.
Job Knowledge:
- Use of office equipment, the physical plant, community resources, regulations, required reports, staffing, admission and personnel policies and procedures, and public relations.
