We are seeking a highly organized, dependable, and people-oriented People Operations Coordinator / Office Manager to support our growing team and day-to-day office operations. This role is ideal for someone who enjoys creating structure, helping people, staying organized, and being the go-to operational support person within a collaborative startup environment.
This individual will support office operations, employee experience, recruiting coordination, HR administration, scheduling support, and general operational needs across the organization. We are looking for someone with a warm, proactive, and service-oriented presence who enjoys helping teams stay organized and supported in a fast-paced environment.
This role is fully in-person and based in Watertown, MA.
Essential Duties and Responsibilities
- Support daily office operations including mail management, office organization, ordering snacks/supplies, inventory tracking, and maintaining shared office spaces.
- Coordinate calendars, meetings, scheduling, and administrative support for leadership and internal teams.
- Assist with recruiting coordination including interview scheduling, candidate communication, onboarding logistics, and recruiting administration.
- Support HR and people operations tasks including onboarding/offboarding coordination, employee documentation, benefits administration support, and maintaining employee records.
- Help coordinate employee engagement initiatives including office lunches, team events, celebrations, and company culture activities.
- Serve as an in-office support resource for employees, visitors, vendors, and operational needs as they arise.
- Assist with ad hoc operational and administrative projects in a fast-paced startup environment.
- Maintain professionalism, confidentiality, and strong attention to detail while handling sensitive employee and business information.
Qualifications and Experience
- 1–3 years of experience in office coordination, administrative support, recruiting coordination, HR support, customer service, hospitality, or operations support roles preferred.
- Strong organizational skills with the ability to manage multiple priorities and shifting needs simultaneously.
- Warm, professional, and people-oriented communication style.
- Strong follow-through, reliability, and attention to detail.
- Comfortable working in a highly collaborative, fast-moving, and evolving startup environment.
- Ability to proactively identify needs and help keep operations running smoothly day-to-day.
- Experience with scheduling, onboarding coordination, office management, or administrative systems preferred.
- Positive, adaptable, and team-oriented mindset with a willingness to jump in where needed.
- Must be comfortable working onsite in an in-person office environment.
