Position Summary
The Recovery Coach Billing Specialist is responsible for managing and processing all billing-related activities for Gavin Foundation’s Recovery Coach (RC) Program. This position ensures accurate and timely billing, insurance verification, authorization management, and data reporting for a high-volume caseload. The ideal candidate is detail-oriented, highly organized, and experienced in handling billing operations within a behavioral health or substance use treatment setting.
Key ResponsibilitiesBilling & Authorization Management
- Complete daily billing for all Recovery Coach clients due that day.
- Review all new clients in the Electronic Health Record (EHR) the day before billing.
- Add new clients to the RC billing sheet and maintain accuracy across systems.
- Verify insurance coverage and ensure all client information (including address) matches.
- Obtain and track insurance authorizations, ensuring new authorizations are received within seven (7) days of any insurance change.
- Manage 90day reauthorizations and complete disenrollments in accordance with BSAS requirements.
- Access and maintain credentials for all insurance portals.
- Monitor and resolve denied or rejected claims related to insurance changes or authorization issues.
- Identify billing trends and communicate process improvements to the Billing Manager.
- Maintain and update multiple billing spreadsheets and financial trackers daily.
- Ensure all billing data aligns across systems and reports.
- Assist with monthend billing and reporting for program leadership (Dave & Peter).
- Support billing for approximately 400 of 500 active clients monthly.
- Provide guidance and training to Recovery Coaches on billing and EHR documentation requirements.
- Answer Recovery Coach and ESM questions regarding billing and data entry processes.
- Develop and share training videos or documentation to support staff understanding.
- Collaborate with administrative and finance teams to ensure compliance and consistency across billing practices.
- Highschool diploma or GED, previous experience in a professional office setting.
- Must possess a valid MA driver’s license.
- Must be able to pass MA CORI and Drug Testing requirements
- Demonstrated understanding of, and committed to adhering to, federal and state policies (42 CFR Part 2, HIPAA)
- Candidates with lived expertise are encouraged to apply, if in recovery, must have two years of continuous sobriety
- Familiarity with billing systems, data entry, and financial software (e.g., QuickBooks, Excel).
- Strong time management skills and ability to multitask effectively.
- Demonstrated ability to maintain confidentiality and work with sensitive client data.
