Job Summary
Gator Roofing & Restoration is looking for a warm, organized Secretary/Receptionist to be the welcoming face and voice of our office. You’ll be the first point of contact for homeowners, commercial clients, and insurance representatives — often during stressful situations after storm or property damage. Your professionalism, attention to detail, and friendly attitude will keep our front office running smoothly and help every customer feel taken care of from the very first call.
Duties
- Greet visitors and clients warmly, in person and over the phone, ensuring they feel welcomed and attended to promptly.
- Manage a multi-line phone system, route calls accurately, and capture new leads and service requests with complete, accurate details.
- Schedule and confirm inspections, estimates, and crew appointments, coordinating closely with project managers and field teams.
- Handle incoming correspondence, emails, and inquiries efficiently using office and CRM software.
- Support the insurance and claims process by organizing documents, photos, and paperwork for adjusters and customers.
- Maintain organized digital and physical filing systems, perform accurate data entry, and keep customer records up to date.
- Assist with calendar management, scheduling meetings, and general administrative support for owners and project managers.
Preferred but not required
- Prior reception, administrative, or customer service experience (construction, roofing, or restoration office a plus).
- Excellent phone etiquette and friendly, professional communication.
- Strong organizational and multitasking skills with sharp attention to detail.
- Comfortable with computers, email, and office/CRM software (e.g., AccuLynx, JobNimbus, or similar).
- Bilingual (English/Spanish) strongly preferred.
- Dependable, punctual, and able to stay calm and helpful with customers in stressful situations.
Pay: $35,450.44 - $40,327.41 per year
