What You’ll Do
Interview Coordination & Candidate Experience
- Coordinate and schedule interviews across multiple roles and stakeholders, including phone, virtual, and onsite interviews.
- Manage complex scheduling logistics across time zones and high-volume requisitions.
- Serve as the primary point of contact for candidates throughout the interview process, ensuring clear communication and a positive experience.
- Maintain accurate interview status updates and notes within Greenhouse.
- Manage offer workflows in Greenhouse, including generating offer letters and routing approvals.
- Coordinate with Talent Acquisition, HR, and hiring managers to ensure timely offer delivery and acceptance.
- Support onboarding execution in UKG by initiating onboarding tasks and ensuring documentation is completed accurately and on time.
- Troubleshoot candidate issues related to offer letters, onboarding paperwork, system access, and task completion.
- Monitor background check progress through Checkr to ensure timely completion.
- Follow up with candidates to resolve delays, missing information, or flagged items.
- Adjust Checkr workflows as needed in partnership with HR and TA leadership.
- Ensure background checks align with company policies and compliance requirements.
- Maintain data accuracy across Greenhouse, UKG, and Checkr.
- Assist with ATS reporting, recruiting pipeline tracking, and audit readiness.
- Identify opportunities to improve recruiting coordination processes and candidate communication templates.
- Support recruiting projects, system updates, and documentation as needed.
- Post and manage job postings in Greenhouse and external job boards.
- Prepare interview materials, schedules, and candidate packets.
- Support recruiting events and hiring initiatives.
- Partner with recruiters and hiring managers to ensure recruiting timelines are met.
- Maintain confidentiality when handling candidate and employee information.
Experience
- 2–4 years of experience in a Recruiting Coordinator, Talent Operations, or HR support role
- Hands-on experience using Greenhouse for interview scheduling, candidate tracking, and offer workflows
- Experience coordinating interviews in fast-paced or high-volume environments
- Strong organizational and time management skills
- High attention to detail and accuracy
- Strong written and verbal communication skills
- Ability to manage multiple priorities simultaneously
- Customer-service mindset with the ability to professionally support candidates
- Experience supporting onboarding processes in UKG or a similar HRIS
- Experience managing background checks in Checkr or a similar vendor
- Familiarity with employment compliance basics and recruiting best practices
- Experience with reporting, documentation, or process improvement initiatives
