We are seeking a detail-oriented and highly organized Procedure Scheduler to join our team. This role is responsible for coordinating and scheduling routine procedures and complex surgeries, ensuring patients, providers, and surgical facilities are aligned for a seamless care experience.
The Procedure Scheduler gathers patient and procedural information, educates patients on preparation requirements, and ensures all scheduling activities follow organizational policies and best practices. This position plays a key role in problem-solving scheduling challenges through research, communication, and appropriate escalation when needed.
Essential Duties & Responsibilities:

Schedule patient procedures and surgeries according to physician orders

Confirm and update patient demographic and insurance information, ensuring accuracy in all systems

Communicate procedure details, preparation instructions, and financial responsibilities to patients and families in a timely manner

Collaborate with providers and clinical staff regarding scheduling needs and patient education materials

Transmit physician orders and required documentation to endoscopy and surgery centers

Schedule procedures within established surgical block times at affiliated hospitals per physician request

Monitor daily schedules to ensure accuracy and timeliness; communicate delays, cancellations, or issues to appropriate staff

Track and manage physician scheduling requests throughout the day

Research scheduling discrepancies and provide problem-resolution recommendations; escalate when appropriate

Maintain strict compliance with organizational policies and HIPAA regulations

Assist with additional operational and administrative duties as assigned

Perform other duties as needed to support departmental operations

Physical Requirements:

Qualifications:- High school diploma or equivalent
- Minimum of 2 years of experience in a healthcare setting
- Minimum of 1 year of experience scheduling surgeries/procedures preferred
- Knowledge of ICD-9 and CPT Coding and working knowledge of medical terminology preferred
- Proficiency in MS Excel, or other scheduling software
Salary : $18 - $20
