We are seeking a detail-oriented Paralegal/Legal Assistant to support executive leadership and management in legal and real estate matters. This position is essential for tasks such as document preparation, filings, scheduling, and communication with clients, municipalities, lenders, and vendors. Please note that this role does not involve supervisory responsibilities. This position plays a key role in document preparation, filings, scheduling, and communication with clients, municipalities, lenders, and vendors. This role reports to the General Counsel.
Key Responsibilities
- Prepare, file, and serve pleadings and legal documents.
- Draft and review letters of intent, real estate purchase and sale agreements, and related documents.
- Review title reports, easements, deeds, and other real estate records.
- Coordinate and assist with real estate closings.
- Request, manage, and send escrow deposits.
- Maintain calendars for contracts, leases, deadlines, and filings.
- Manage formation, annual compliance filings, and dissolution of single‑asset LLCs.
- Compile loan packages and communicate with lenders.
- Review permit applications, consultant proposals, and contractor engagement letters.
- Liaise with clients, municipalities, consultants, and vendors.
- Organize and maintain electronic and physical files.
- Prepare regular and ad hoc management reports.
- Complete work accurately and on time to support business goals.
- Perform other related duties as assigned.
Qualifications
- Prior experience in a paralegal, legal assistant, or real estate administrative role required.
- Excellent verbal and written communication skills.
- Strong reading comprehension and business correspondence skills.
- High attention to detail with proven proofreading ability.
- Strong organizational, analytical, and problem-solving skills.
- Ability to manage multiple priorities and adapt to changing needs.
- Professional demeanor, appearance, and conduct.
- Proficiency with technology and software, including:
- Microsoft Office Suite (including Publisher)
- Adobe Acrobat and Photoshop
- CRM database systems
- HTML and WordPress
- Working knowledge of Google Earth and social media platforms.
- Strong interpersonal and people skills; leadership ability is a plus.
Work Environment & Physical Requirements
- Office environment with moderate noise levels.
- Frequent interaction with internal staff and external clients.
- Ability to lift up to 35 pounds for supply deliveries.
- Standard business schedule, on-site presence required 80% of the time.
