I’m a producing real estate agent based in Richmond, Virginia, specializing in historic homes and high-end properties across neighborhoods like the Fan, Museum District, and Near West End. My business consistently sells up to $20 million in real estate annually, with a strong focus on thoughtful marketing, client experience, and positioning homes as truly one-of-one opportunities.
I’m looking for an Executive Assistant / Real Estate Coordinator to help bring that vision to life behind the scenes — someone highly organized, detail-oriented, and motivated to grow within a fast-paced, client-focused environment.
This is not a “sit back and wait for instructions” role. This is for someone who takes ownership, anticipates needs, and wants to be part of building something that stands out in the Richmond market.
- Coordinate contract-to-close process, including timelines and communication
- Organize and execute thoughtful closing gifts
- Set up and manage home searches for buyers
- Schedule inspections and coordinate with vendors
- Assist with prospecting and marketing outreach efforts
- Coordinate with marketing team on listing launches, including postcards and campaigns
- Schedule and manage pre-marketing contractors (staging, photography, repairs, etc.)
- Organize and present contractor recommendations to clients
- Prepare listing materials:
- QR code plaques
- Lockboxes
- Key copies
- Directional signage
- Assist with updating website and social media for listings
- Schedule and prepare open houses
- Coordinate catering and setup
- Manage directional signage placement
- Work with marketing team on flyers and postcards
- Maintain and update website content
- Assist with event planning (client events, local activations, etc.)
- Coordinate client “pop-bys” and delivery logistics
- Manage and update Google/business profiles
- Organize and maintain CRM (client database, follow-ups, notes)
- Highly organized and detail-oriented
- Strong communicator who is comfortable managing multiple moving pieces
- Proactive and able to anticipate needs before being asked
- Interested in real estate, marketing, or business operations
- Thrives in a fast-paced, high-expectation environment
